The buyer’s agent process, from first call to settlement

Here is what working together typically looks like, from the initial Discovery Call through to a settled acquisition. Every search is different, but the process is consistent.

Eight stages from first conversation to settlement.

Discovery Call

A no-obligation conversation to understand your search, your timeline and your brief. I will tell you honestly whether my service is the right fit for your situation. If it is, we discuss engagement terms and how to proceed. If it is not, I will tell you that too and point you toward a more suitable option where I can.

Brief development

Once we formalise the engagement, I spend time understanding your brief in detail. Location requirements, property type, must-haves and deal-breakers, intended use, timeline and budget. The clearer the brief, the more efficiently the search runs. I will push back on anything that seems unclear or contradictory, so we start with a shared, workable brief rather than a wish list.

Active search

I search across listed properties, maintain agent relationships and where relevant conduct direct outreach in target areas. I filter based on your brief before presenting anything, so you are not reviewing properties that obviously do not fit. I keep you regularly updated on what is in the market and what I have assessed and rejected, so you understand the search as it develops.

Property inspection and assessment

For shortlisted properties I attend inspections in person. I assess visible construction indicators, layout and liveability, site conditions, maintenance implications and renovation possibilities. I provide you with my assessment and a recommendation to proceed or pass, with reasons. Interstate and time-poor clients receive written assessments so they have something to refer to rather than just a verbal debrief.

Comparable-sales analysis

Before any negotiation I complete a comparable-sales analysis to establish an evidence-based view of the property’s value. This informs the offer strategy and makes sure any price we put forward is supportable, not guesswork. If the asking price is significantly above what the evidence supports, I will tell you that clearly before we proceed.

Offer and negotiation

I develop an offer strategy based on the property, the market conditions, the vendor’s apparent motivation and the comparable evidence. I handle all negotiation directly with the agent on your behalf. You are kept informed at each stage and make the final call on any significant decision. My role is to get you the best outcome the evidence supports, not to close a deal at any price.

Due diligence

Once an offer is accepted I help coordinate the due-diligence process. This includes recommending appropriate building and pest inspectors, tracking key contract dates and keeping you informed. I do not provide legal or conveyancing advice, but I work alongside your solicitor or conveyancer to make sure nothing falls through the gaps. If something material comes up in the inspection I help you understand what it means and what options you have.

Settlement and beyond

I remain available through the cooling-off period and beyond settlement for questions that come up as you get familiar with the property. Most clients find they have fewer surprises post-settlement than they expected, because the process surfaces most of the important information before they commit. I also stay in touch for referrals and for clients who come back for their next acquisition.

Every acquisition is different. Timelines, the number of properties assessed, and the specific steps involved vary depending on your brief, budget, location and market conditions. The above describes a typical full-service engagement; adjusted and negotiation-only engagements follow a shorter process.

HOW LONG DOES IT TAKE

Realistic timelines, not optimistic ones.

Some searches conclude in a few weeks. Others, particularly for specific briefs in competitive areas, take longer. I will give you an honest estimate at the Discovery Call based on current market conditions and what you are looking for, and I update that estimate as the search develops.

The things that affect timeline most are how specific the brief is, how competitive the target area is and how flexible the client is on price relative to current market values. A broad brief in a liquid market moves faster than a narrow brief in a low-supply area at a price point that does not yet match market reality.

I would rather give you an honest assessment of likely timing upfront than a confident-sounding number that turns out to be wrong.
